Make sure your staff rep registers as an attendee
For each symposium, we need personal registrations in addition to the organization’s exhibitor registration, so that we can gather info for name tags, food restrictions and preferences, and so on.
Attendees can register for free on each symposium’s webpage. Go to the Literacy Texas calendar to find the symposium your organization’s representative will attend. If no registration button is showing, attendee registration for that particular symposium is not yet open.

Please bring a door prize
A prize-drawing will be held at the end of the program and every attendee who stays to the end is eligible to win.
DUE DATE: Please bring your prize on the day of the symposium and give it to a member of the Literacy Texas team.
Including Literacy Texas in your marketing materials
We’d appreciate it very much if you could be intentional about representing Literacy Texas well in any marketing materials you may produce about any of our symposia.
Please list us as the event presenter. You can use wording like “Literacy Texas Regional Symposium,” or “the Far West Literacy Symposium, presented by Literacy Texas.”
Use these hashtags for symposia:

Please also include our graphics where you can. Links to two version of our logo are below – if you need other graphics, such as those for a specific symposium, please contact us to request them, rather than downloading from the website or socials which may not be fit for purpose.

Your Current Logo
We need a current logo for each exhibiting organization or company, ideally in two formats:
1. Portrait or square
AND
2. Landscape
If you’ve sent us your logo in the past and there have been no changes, you don’t need to send again. If we have logos on file for you, we’ll assume they’re current until you send us replacements.
If you’re a first-time exhibitor or your organization’s logo has changed recently, please send us updated logo files.
The ideal file type is:
- Full color,
- A PNG with a transparent background,
- At least 500px on its shortest side.
If a file type with these features is not available, please send what you can.
DUE DATE: Two weeks ahead of the symposium date
You can send your logo as an email attachment to either Kathryn or Lindsay. Please get in touch if you need contact details for either of them (we don’t list email addresses on the website to minimize spam).
Your Listing on Our Website
We will list all confirmed exhibitors on the relevant symposium event webpage, and symposium sponsors in a variety of places according to the sponsorship level.
We want to make sure we list your company name exactly as you want it, and that the embedded URL goes to the right website – we will use the information you give us.
The URL you send us can link to anywhere you like – your website home page, to a specific resource or promotion, a blog post, or other.
As above, if you’ve sent us your URL in the past and there have been no changes, you don’t need to send again. If we have a URL on file for you, we’ll assume it’s current until you send us an update.
If you later see an error or want to change how you’re listed, get in touch any time.

Your Listing in the Symposium App
Literacy Texas uses the Eventify app for all in-person training events (regional symposia and annual conference).
Literacy Texas will add the basics to your listing in the event app, using the information you provide:
- Organization name (as you submit it to us)
- Organization URL (as you send it to us)
- Logo (from our files, or sent by you via email to Literacy Texas – see details above)
If you want to, you can also send us these items, which we’ll upload to the app ahead of time if we receive them from you in a timely fashion:
- Banner image
- “About Us” blurb
1. BANNER IMAGE - DETAILS
- Graphic – must be in JPG format
- 566px wide, 368 px tall – cannot be added if smaller or the wrong ratio
- Can include words (though ideally not too many or too small)
NOTE: This should not just be your logo again! We will use your logo as your app icon. The banner image is a chance for you to be more creative – by including something about your mission, a product you’d like to promote, or similar. See examples below.
2. "ABOUT US" BLURB - DETAILS
- Short description or promotion of your organization
- Up to 4,000 characters (we recommend 100 – 600 characters)
- Line breaks possible
- Links and other formatting (bold, italics, color) NOT possible
You will get access to your organization’s app listing approximately a week before each event. You’ll have the chance to add other information to make your profile stand out – for example, graphics, videos, documents, a product list, coupons, and more.
Adding anything beyond the basics to your app profile is completely optional. As noted above, we’ll make sure you’re listed there with name, website, and logo (if you’ve sent us one). You’re welcome to leave it there if you wish!

The 20-Minute Mission
Since presenter breakout presentations are generally not possible at symposia, we’ve introduced an exhibitor-centered activity to symposia that we’re calling “The 20-Minute Mission.”
Over 20 minutes, attendees listen to exhibitor highlights and make notes on a card in three sections:
- One new idea;
- An interesting tool or resource they heard about; and
- An exhibitor to follow up with.
If you’ve been to a Literacy Texas Conference in recent years, this activity functions very similarly to Exhibitor Lightning Rounds.
How the activity works:
- Takes place in the exhibitor area of the symposium, immediately after lunch.
- Attendees visit a total of three exhibitor tables, during which the exhibitor has 4 minutes to present some features of what they have to offer. We know you can’t cover everything in 4 minutes! We suggest focusing on two or three key highlights, like something new, something core to what you offer, or similar.
- At the end of the activity, attendees complete their cards to take home, answering the prompts as noted above.
NO DUE DATE – just be prepared on the day with your short presentation!
Ads in Event App
Full-color ads in our events app are available to purchase. Specs are below.
An app ad costs a flat fee of $150. Ads will be included in the app for every symposium in the current program year following your payment, whether you’re present as an exhibitor at that specific event or not.
Please note that this does NOT include the Literacy Texas Annual Conference – ads in the conference app must be purchased separately.
You should send us ONE ad graphic to be used throughout the program year. Changes will not be possible unless you purchase a new ad.
- Complete ad should be submitted as a JPG, at 72 dpi.
- Size: 1,054 px wide, 600 px tall
NOTE: App ads should be brief and consider screen size limitations – ads will be viewed on phones and other smaller devices, so font size and graphic type should be carefully considered. Simple is good!

Insurance Requirements
Some venues have specific insurance requirements for exhibitors. If exhibitors need to provide insurance for a specific symposium, Literacy Texas will let you know with as much notice as possible. If we haven’t contacted you about insurance for a specific symposium, you can assume that insurance is not required.
Not all venues will require insurance. If they do, here are your options:
OPTION 1
You can have Literacy Texas listed on your insurance certificate as an “additional insured.”
OPTION 2
You can provide an endorsement that shows Literacy Texas as an additional insured (this is like an amendment to your insurance).
OPTION 3
If you’re unable to do either of the above, we can assist you to get a simple policy specifically for our event – talk to Lindsay if you need to do this. This will cost approximately $75.

The "Fine Print"
For ease of reference, this is a copy of the sponsorship details and conditions listed in the Symposium Sponsor & Exhibitor Opportunities document.
Exhibitor table: 1 x display table + chair. No linens supplied unless noted. Electricity supplied when available but not guaranteed. Exhibitor to bring any extension cords required.
Listing in symposium app: Exhibitor/Sponsor profile in event app, consisting of organization name, URL, logo, and app banner. Specs and details on info page (link below).
Listing in online symposium program: Exhibitor/sponsor name included in symposium program made available on Literacy Texas website.
Listing in Literacy Texas e-news: Recognition of exhibitor/sponsor in relevant e-news mailings sent by Literacy Texas in the lead-up to the appropriate symposium/symposia.
Logo in symposium slideshow: Exhibitor/sponsor logo included in slideshow presented by Literacy Texas team at relevant symposium/symposia.
Logo on Literacy Texas website: Logo displayed in relevant sponsorship category on main symposium page (literacytexas.org/symposia) for the duration of the 2026-27 program year.
Blog or newsletter profile: Your choice of one guest blog post OR one newsletter profile during the 2026-27 program year. Specs and details on info page (link below).
Ad in event app: Ad will be included in app for every 2026-27 symposium following your payment. One ad graphic to be used throughout the program year. Specs and details on info page (link below).
2-min symposium spotlight: Opportunity to address attendees for up to 2 minutes at a set time during program. Available for each symposium at which sponsoring organization is in attendance.
Priority exhibitor access: When exhibiting space is limited (for example, by the space constraints of certain venues), Symposium Patrons will receive priority access to the available tables. If there are more Symposium Patrons than tables, sponsor sign-up date will decide priority order.
“Literacy Texas Presents” webinar: One 60-min webinar, hosted by Literacy Texas. Optional add-on activity, for an additional fee, available only to Symposium Patrons. Maximum 4 webinars on offer for 2026-27 program year. Session must provide meaningful educational value to attendees and is subject to Literacy Texas approval of date, time, topic, title, description, and content. Literacy Texas will advertise via standard communications channels. No minimum attendance is guaranteed.
Breakfast sponsorship: Covers breakfast on one symposium day. Sponsor can select specific symposia, subject to availability. For 2-day events, sponsor can select which day, subject to availability. Literacy Texas will make all arrangements and decisions regarding catering and menu.
General: All content (logos, URLs, graphics, other) to be supplied by exhibitor/sponsor as stipulated by Literacy Texas – content not received on time or according to specifications may not be included.
Refunds
Literacy Texas offers a refund of $30 if an exhibitor cancels their participation up to 3 weeks ahead of the symposium date. If participation is canceled after that date, no refund is possible.
DUE DATE: Cancel at least three weeks ahead of the symposium date, and we’ll process your refund.
